This policy explains what personal information we collect when you visit this website, why we collect it, and what control you have over it. It applies to oilily-hifi.com only. Our distributor partners operate their own websites and are not covered by this policy.
Information we collect
Information you give us
- Order information: name, email address, telephone number, billing and shipping addresses. A working telephone number is required for every order because large freight shipments need a carrier contact.
- Payment information: we do not store your full card number. Card details are entered on our payment provider’s secure page and handled directly by them.
- Enquiry information: if you contact us or submit the contact form, we keep your message and contact details so we can respond.
- Newsletter subscription: if you subscribe, we store your email address until you unsubscribe.
Information collected automatically
- Device and usage data: IP address, browser type and version, operating system, referring page, pages viewed, and time spent on the site.
- Cookies and local storage: see the Cookies section below.
Information we do not collect
We do not knowingly collect sensitive personal categories such as health records, biometric data, or government identification numbers. If you volunteer such information in a support message, we will store it only as part of your enquiry.
Why we use your information, and on what legal basis
| Purpose | Data used | Legal basis |
|---|---|---|
| Process and deliver your order, including customs paperwork and freight | Name, contact details, address, order contents | Performance of a contract |
| Take payment | Order details, payment confirmation | Performance of a contract |
| Provide warranty and after-sales service | Order history, correspondence, fault descriptions | Performance of a contract; legal obligation |
| Answer enquiries before you buy | Contact details, message | Legitimate interest; steps at your request |
| Prevent fraud and abuse, including payment fraud | Device data, order patterns, IP address | Legitimate interest |

Where we rely on legitimate interest, we have assessed that the use is necessary to operate the shop, protect it from fraud, and improve it — and that our interest is not overridden by your rights. Where we rely on consent, you may withdraw it at any time by unsubscribing, and we will stop the relevant processing.
Payments
Payments are processed by PayPal, acting as an independent payment service provider. When you complete a payment, PayPal receives your order amount, your name, your billing address, and the card or wallet credentials you enter. Your full card number is never stored on our servers.
PayPal acts as a separate controller for the payment data it processes. Their own privacy terms apply in addition to this policy, and you should read them before paying.
Analytics and advertising
We use Google Site Kit and Google Tag Manager for WordPress to understand how visitors use this site. These tools set cookies and similar tags to record page views and referral sources in aggregate. Google may use this data to provide its own services, and may process it in countries outside your own.
We also use a Facebook pixel so that advertising we run reaches people who have shown interest in our products. If you are signed in to Facebook or Instagram when you visit this site, that platform may connect your visit to your account.
We do not sell personal information to third parties. You can opt out of advertising personalisation through your Facebook account privacy settings, or by using Google Ads personalisation settings.
Email and newsletters
We use MailPoet to send and manage newsletter subscriptions and transactional messages such as order confirmations and shipping notices. If you subscribe, we store your name and email address in our mailing system until you unsubscribe. Every marketing email includes an unsubscribe link.
Cookies
Cookies are small text files placed on your device. We use them for two different purposes.
Strictly necessary cookies
These are required for the shop to work and cannot be switched off. They cover your shopping session, keeping items in your cart, logging you in to your account, applying the correct currency and language, and completing payment.
Analytics and advertising cookies
These are set by Google and Facebook to measure site usage and advertising performance. They are not required for the shop to function.
How to control cookies
You can block or delete cookies through your browser settings, and most browsers offer a way to block third-party cookies entirely. Blocking strictly necessary cookies will prevent parts of the shop from working. Disabling analytics cookies does not affect your ability to browse or order.
Who we share your information with
We share only what is necessary, with the following categories of recipient:
| Recipient | What they receive | Why |
|---|---|---|
| Freight carriers (FedEx, UPS and forwarders we use for sea freight) | Name, address, telephone number, parcel weight and dimensions | To deliver and clear your shipment |
| Payment provider (PayPal) | Payment credentials and order amount | To take payment |
| Customs authorities and freight brokers | Invoice and shipment details required by law | Import clearance |
| Our email and hosting providers | Contact details and message content | To run the site and reply to you |
| Google and Meta (Facebook) | Usage and advertising data | Analytics and advertising measurement |
| Professional advisers, auditors and authorities | As legally required | Compliance, tax and legal obligations |
We do not sell, rent or trade your personal information. We do not disclose it to third parties for their own marketing purposes.
International transfers
We are based in China and ship from warehouses in China and the United States. Information you submit may therefore be processed in a country other than your own, including China and the United States. Where this happens, we rely on appropriate transfer safeguards such as standard contractual clauses. If you require information about the specific safeguard used for your country, contact us and we will explain it.
How long we keep your information
- Order records: retained for as long as needed to satisfy tax and accounting record-keeping duties, and to handle warranty claims. We do not keep order records indefinitely.
- Warranty records: retained for the warranty period plus a reasonable buffer so we can honour claims and prove purchase.
- Enquiries that do not become orders: retained only while the enquiry is open and for a short period afterwards, then deleted.
- Newsletter subscriptions: retained until you unsubscribe, then removed from the active list.
- Analytics data: retained by Google and Facebook for the periods those providers specify.
Your rights
Depending on where you live, you may have the following rights over your personal information:
- Access — ask for a copy of the information we hold about you.
- Correction — ask us to correct anything inaccurate or incomplete.
- Deletion — ask us to delete information we no longer have a reason to keep.
- Objection and restriction — ask us to stop, or limit, a particular use of your information.
- Portability — receive your information in a portable, machine-readable format.
- Withdraw consent — at any time, where processing relies on consent.
- Complain — to your local data protection regulator.
California residents
Under the California Consumer Privacy Act as amended by the CPRA, California residents have the right to know what personal information is collected, to request deletion, to correct inaccurate information, to opt out of its sale or sharing, to limit use of sensitive personal information, and to appeal a denied request. We do not sell or share personal information as those terms are defined by the CCPA. We have not knowingly collected sensitive personal information as defined by that law.
European visitors
If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the rights set out in the GDPR, including the right to lodge a complaint with your local supervisory authority. Contact us first and we will usually resolve the matter directly.
How to exercise a right
Email services@oilily-hifi.com with the subject line “Privacy request”. Please include the email address used for your order so we can locate your records. We will respond within 30 days. We may ask for verification before acting on a request, to protect your account.
Children
This site is not directed at anyone under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time, for example when we change what we collect or when the law changes. The date at the top of this page shows when it was last revised. If a change materially affects how we use information you have already given us, we will contact you before the change takes effect.
